Terms of Service

Last updated: 7 October 2026

1. The agreement

These terms are an agreement between you and PROMEC SYSTEMS LLC, a limited liability company operating the Routova field service route planning and maintenance management service under the trading name Routova. You contract with PROMEC SYSTEMS LLC for use of the service; Paddle acts as reseller for subscription orders as described below. By creating an account or continuing to use the service you agree to these terms. If you accept on behalf of a company, you confirm you are authorised to do so.

2. The service

Routova lets a company manage customers and service addresses, recurring service agreements, daily visits and routes, driver checklists and proof of work, parts, quotes and invoices, plus notifications to its own customers. Features may evolve over time; we will not materially reduce core functionality of a paid plan during a billing period.

3. Accounts and roles

A company admin creates accounts for dispatchers and drivers and is responsible for their use of the service. Keep credentials confidential and tell us promptly about any unauthorised access. You must provide accurate information and be at least 18 years old.

4. Subscriptions and billing

Paid plans are billed in advance on a recurring basis at the price shown at sign-up, and renew automatically until cancelled. Cancellation takes effect at the end of the current period. Payments, billing, applicable taxes, cancellation and refund mechanics are governed by Paddle's Buyer Terms. We offer a 30-day money-back guarantee as described in our Refund Policy. To request a refund, visit paddle.net.

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.

This disclosure applies to Routova subscription orders, not the service invoices companies issue to their own customers. Contact Paddle for order and billing assistance; contact sales@routova.net for technical support with Routova.

5. Invoicing your own customers

Where a company enables card payments, it connects its own payment provider account and receives its customers' funds directly. The company is solely responsible for its pricing, invoices, taxes, refunds and disputes. Routova is not a party to those transactions and does not hold customer funds.

6. Acceptable use

  • Do not use the service unlawfully, for fraud, to infringe intellectual property rights, or to send unsolicited bulk email or spam.
  • Do not attempt to access another company's data, probe or disrupt the service, scrape data without authorisation, upload malware, or circumvent security or usage limits.
  • Do not reverse engineer, resell or white-label the service without our written agreement.
  • Only upload content and personal data you are entitled to process, and obtain any consents your customers require.

7. Connected accounts

If you connect a Gmail account or an email service key so notifications send from your own address, you authorise Routova to send those messages on your behalf and you remain responsible for their content and for complying with your provider's terms. You may disconnect at any time in Settings. Use of Google account data is described in our Privacy Policy.

8. Your data and ownership

You keep all rights to the data you put into Routova. You grant us the limited licence needed to host, process and display it in order to operate the service. We own the software, documentation, interfaces and branding. You may export your data while your account is active.

9. Routing and estimates

Optimised stop order, travel times and arrival estimates depend on third-party mapping data and are estimates only. Drivers remain responsible for safe, lawful driving and for their own judgement on the road.

10. Availability and support

We aim for high availability but the service is provided without an uptime guarantee unless separately agreed. We do not guarantee uninterrupted or error-free performance. Planned maintenance will be announced where practical.

11. Suspension and termination

We may suspend or terminate access for non-payment, material breach of these terms, security or fraud risks, or repeated or serious policy violations, after notice where practical. You may stop using the service at any time. On termination we will delete or anonymise your data in line with our Privacy Policy.

12. Disclaimers and liability

The service is provided "as is" to the fullest extent permitted by law. We are not liable for indirect, incidental or consequential losses, lost profits or lost data. Our total liability for any claim is limited to the fees you paid in the 12 months before the claim arose. Nothing here excludes liability that cannot lawfully be excluded.

13. Changes and contact

We may update these terms; material changes will be notified to account admins and the date above updated. Continued use after the effective date means acceptance. Questions: sales@routova.net.
